REGISTRATION & FEE INFORMATION

HOW TO REGISTER
Registration for the Wild West Relay is a 4-step process.
Step 1 - Registration is only online. Just the team captain needs to go to the registration page - you do not need to have a complete team to register, however, to avoid a penalty fee, all team members need to be in the database by three weeks before the race! Just follow the instructions and enter your contact information, team name, select your team's category, and other information. After you register, you will be able to log in to the database and edit all your team's information except for your Team Name and your Volunteer Option - those changes need to be emailed to the race director.
Step 2 - Select your Volunteer Option (important reading before registering). If you choose the "Non-Profit Volunteers" option, a separate invoice will be emailed to you - it is a separate tax-deductible donation to Volunteers With a Purpose, Inc.
Step 3 - Payment - payment is due with registration. Payment is made online with either a credit card, your PayPal account (if you have a PayPal account, PayPal will not permit payment through the credit card link), or by check. Registration is not complete until payment is received.
Step 4 - Database - Registration creates your team's entry in the WWR database. Once your team is entered in the database, the Captain can log into the database to enter the runners and volunteers, or the team's runners and volunteers (if applicable) can enter their information by selecting their team name from the drop down box. Each team member must have a valid email address as communications to participants and volunteers is via email. Access to the team and runner database closes 3 weeks before race day - any additions or changes to your team's runners after the database closes must be submitted via a Substitution Form and has a $10/form fee. There is no fee for volunteer changes.
When payment is received, you will receive a confirmation by email.
IMPORTANT - All future correspondence with Timberline Events must include your team's name so we know with whom we are dealing with. Thanks!
CAPTAIN'S RESPONSIBILITIES
- The captain must be an actual team member and must provide a home address along with an accurate email address as all communications are via email. However, for High School Teams, a coach or an adult can be a non-running contact person.
- A full roster is not needed to register your team but the entire team must be entered in the database before it closes 3 weeks before race day to avoid a penalty.
- Every team is responsible for selecting one of the two volunteer options. The volunteer requirement is waived for High School teams.
- New teams will not be accepted after July 16th or once the 150-team limit is reached.
- The minimum age for participants is fourteen years of age. Participants between the ages of fourteen and eighteen as well as their parent or guardian will need to sign the waiver of liability.
- Team member's 10k times need to be accurate - any team finishing 2 hours earlier than their projected finish time will be accessed a 2-hour time penalty. Team's starting times are designed to spread out the teams and to prevent congestion in exchanges that cannot handle larger numbers. Please submit the 10k time you believe you would be able to run at the time of the relay- please DO NOT adjust for altitude or terrain or that you are on an Ultra team as we do this in calculating your team's average time.
- Teams are self supported. While there are portable toilets at each exchange, teams are responsible for supplying their own food and water.
- Please understand that the roads the Wild West Relay route is held on are not closed and there will be traffic. The route is rural and at times very isolated. Thus, Emergency Medical Services will not be immediately available through out most of the relay route. Thus teams will need to have a plan and possibly take matters in to their own hands as far as transporting an injured person to the closest hospital, directions to which will be included in the Relay Handbook. WAIVERS
Each member of the team (runners, volunteers, and van drivers) will need to complete and turn in a waiver. These should be brought to the starting line. The waiver will be downloadable in PDF format and will be available on the Captain's Resources page.
AVOID PENALTIES!
- Have your entire team registered in the WWR database by July 18th to avoid penalty fees.
- Any runner changes, substitutions, or additions made to your 2010 team after July 18th will result in a $10 penalty fee per runner.
VOLUNTEERS
The Wild West Relay route travels through remote, rural areas, purposely avoiding larger towns. Thus, to supply the manpower necessary to stage the relay, all teams have two volunteer options to help with the staffing the race marshal positions:
Option #1- Supply volunteers:
Each 12-person team supplies three (3) volunteers, Ultra teams supply one (1) to staff the runner exchanges. The volunteer requirement is waived for High School teams. Volunteers need to be flexible. As the relay route is from Fort Collins to Steamboat Springs and takes place from early Friday morning until late Saturday afternoon, the race marshal assignments can be anywhere along the route and at any time during the relay (including the middle of the night). Volunteers and/or the Captain of their team will be able to select the time and location of their assignment from the available options online shortly after registration closes three weeks before the relay. Please read the volunteers options page so that you totally understand what is involved. Please note that the non-profit groups are assigned to their exchanges prior to the team's volunteers being able to select their location.
OR
Option #2- Volunteers With A Purpose - involve a local community non-profit organization:
Teams can choose to make a tax-deductible donation to Volunteers With A Purpose (IRS 501(c)(3)) - these funds go to local non-profit organizations that provide volunteers for the relay as a fund-raising opportunity.
Advantages of the donation option:
- Many teams encounter the stress of volunteers backing out at the last minute and then have a difficult time finding a replacement.
- We have no way of knowing exactly what locations and time frames are going to be available until registration closes, so neither will you or your volunteers.
- If you make the donation, it's very easy on you - you'll have no other volunteer responsibilities!
- You'll be helping to make a difference by giving something back to the local communities the relay passes through AND your donation is tax-deductible. It's only $30/person (for 6 and 12-person teams based on a full team).

WILD WEST RELAY TEAM AGREEMENT
When registering, the team agrees to the following:
- Ability to complete the course within the 34-hour time limit (a team average of a 10 1/2 minute per mile pace).
- Commitment to provide the appropriate number of volunteers or to choose the non-profit volunteer option.
- Once registration is accepted, confirmed, and paid for, the team fee is non-refundable and non-transferable. However a new captain can be designated from within the team roster.
- Teams are responsible for their behavior: quiet zones are in effect near residential areas, team vehicles and runners are not exempt from state traffic laws, and private property is being used by the WWR and must be respected. Failure to abide by the relay rules could result in immediate disqualification. Headphones, earbuds, iPods are not permitted on active runners - runners caught wearing these devices will cause the entire team to be disqualified.
WILD WEST RELAY REGISTRATION WILL PROVIDE:
- WWR tech shirt (High School Teams receive cotton T-shirt) - prefered shirt size can not be guaranteed for those runners not registered by the time the database closes
- Portable Toilets at every exchange
- Excellent leg maps to be supplemented with directional signage
- Race handbooks with relay information, rules, and leg maps
- Finish Line Meal (burgers, veggie burgers, drink, etc.)
- Awards to the top three teams in each of the competitive categories
- Rural Colorado hospitality and scenery
FEES:
A team is not considered registered until both the registration form AND payment is received. Payment is due with registration. Registration fees are not refundable or transferable.

*A team can decide to change from Volunteer Option #1 to Volunteer Option #2 up until 2 months before race day without penalty - you need to contact the race director to make this switch.

*** Teams who selected the option to supply their volunteers may choose to make a donation for individual non-profit volunteers if they are having problems filling their requirement. This option is only available if non-profit volunteers are available. The first price is if the request is made less than two months but more than three weeks before race day; the second price is if request is made within three weeks of race day.
If your team is having difficulty finding all of your volunteers, you may make a $180 donation to VWAP for each individual non-profit volunteer prior to 3 weeks before race day. Within three weeks of race day, a $240 per volunteer donation is required provided we have the non-profit volunteers available.
ADDITIONAL FEES
- Start times are assigned to enable a smooth flow of teams across the entire relay route. Thus, teams of different paces could be mixed together. Requests to change an assigned start time can be made but the team will be charged $75 for that service unless it was our error. So please make sure the 10k times entered for your team are accurate.
- Any runner substitution or additions made to your team after July 18th will result in a $10 fee per runner.
